Establish Policies that Dictate
  • Which student information is posted and if teachers using Gradebook will provide Progress Reports.
  • How often the student information is updated.
  • Which Schoolmaster field holds the students' PINs.
  • How the Schoolmaster ID number and PIN are provided to parents.
  • How parents indicate if they want their student's information posted.
  • Establish PINs for students

Creating PINs
PINs can be placed in any Schoolmaster field not currently in use (e.g., Other ID), but it is recommended, for security reasons, that a User Defined record be created with a PIN field. This record can then be assigned restricted access rights to allow only selected people to access or edit the PINs.
The extract utility identifies the characters in the field as the PIN. Although a unique PIN for each student is recommended, the PIN does not have to be unique (because they are used in conjunction with the unique Schoolmaster student ID). PINs can be alpha, numeric, or a mixture of both.
The PIN field can be filled automatically for selected students using:

1. Utility
2. Mass Change

In the File field, select Student.

For the Data Item to Change, select the field that will contain the PIN. In the New Value field, enter one of the following functions to fill the fields with random PINs:

PIN Security Considerations
For security and privacy reasons, the student name and PIN are not shown anywhere on the HTML pages generated by Schoolmaster PASS. Parents and students access the pages linked to the school/district Web site using the student's Schoolmaster ID and PIN.

Even though no student names are displayed in information extracted using PASS, parents should decide if their child's information is made available on the school's Web site. We recommend a letter be sent home advising parents that they can refuse to participate and the school will not assign a PIN for their child or children. Information is not extracted for students with a blank PIN field.
